1. Driving Licence Criteria
Drivers must be between 25 and 65 years of age, and able to produce a full, valid driver’s licence issued by the DVLA, held for at least two years. Drivers falling outside this category will be referred to insurers and may incur further charges. Please speak to a member of staff.
2. Identification
All hirers must be able to produce a proof of address dated within the last 3 months, and a valid credit/debit card in the name of the main hirer.
Alternatively, payment may be made on account or via Direct Debit, provided that prior agreement has been received from us.
3. Steering Locks
If renting a vehicle that needs a steering lock affixed, upon signing the steering lock indemnity, I confirm and agree that I will fix the steering lock to the rental vehicle whenever I leave it parked and unattended. I confirm that, in addition to affixing and securing the steering lock on the rental vehicle, I will secure and lock all doors and windows. I understand that failure to do so will result in insurance being invalidated in the event of any theft or losses, and that I agree to indemnify Fairview Vehicle Hire in full should any losses occur.
Please note the wording on the Conditions of Use document, which will need to be on your rental agreement/T&Cs, including referencing the sharing of data with the BVRLA, who can further share with their Members (highlighted).
4. Fuel Policy
We provide each vehicle with a full tank of fuel unless specified in your hire agreement.
Each vehicle that is returned must be returned with a full tank of fuel. Failure to do so will incur a charge multiplied by the AA’s highest recorded fuel price on the day of cessation of hire, plus a 20% administration fee.
5. Breakdown Assistance
Breakdown assistance is available free of charge 24/7.
If assistance is required due to a customer fault or if no additional insurance has been purchased, the renter is responsible for the repair costs, along with an additional fee of £152.35.
Relevant contact details and roadside assistance procedures will be provided before the start of the rental.
6. Accidents / Damage
The hirer is responsible for all damage, however caused, during the hire period. Vehicle repairs and chargeable maintenance will be charged at cost. Vehicle repairs are only to be carried out by pre-approved garages which are authorised to repair by the Lessor. Any unauthorised private repairs that are not to the manufacturer’s standard will be charged to rectify.
The insurance excess is £3000 per accident. This excess is taken in the form of a deposit, up to £500, and refunded at the end of hire, minus any deductions for damage caused. Fairview must be notified within 2 hours of an accident taking place, and all details on the accident form must be completed at the scene. Failure to report an accident within 2 hours of occurring will result in the full excess being charged.
The Company also reserves the right to charge any loss of hire whilst vehicles are being repaired.
7. Traffic Offences / Parking Fines
Administration charges of no more than £35 + VAT may be levied per traffic offence, plus any penalty charges that may be applicable. The hirer also accepts liability for any parking charges, in accordance with Schedule 4 of the Protection of Freedoms Act 2012 and any other charges that may be demanded by any third party in relation to the vehicle.
8. Hirer’s Responsibilities
- The hirer is responsible for the vehicle and key.
- The hirer has a duty of care to maintain the vehicle whilst on hire to them and must, by law, keep it in a roadworthy condition.
- The vehicle must be kept locked.
- Any security device must be fitted to the vehicle must be used when the vehicle is not being used.
- All engine fluids must be checked before use and topped up if required.
- Lights, wipers and tyre condition should also be checked and replaced if not in a roadworthy condition.
9. Cleanliness
The Vehicle must be returned in the same condition it was taken out, which includes cleanliness. If the car is returned dirty, a charge of a minimum of £50 will apply, depending on the level of cleaning required.
10. Deposit
The vehicle Deposit will be processed for the refund after 9 working days from the return date. Fairview will refund the deposit to the payment method used to pay the deposit; a different payment method for refund will not be accepted. The time scale for the funds to be available on your card will vary depending on your bank and/or card provider, and Fairview accepts no liability for any delays.
The customer expressly authorises the rental company to charge their credit/Debit card, which is processed and securely stored in compliance with PCI-DSS standards, for any damages, losses, or other liabilities incurred during the rental period in accordance with the rental agreement, where the customer fails or refuses to settle such liabilities.
11. Cancellation
We recognise that your plans may change. We can therefore offer to move your booking to another date in the future without charge. If you wish to cancel your booking, you will be charged 30% of the cost of the booking. Bookings cancelled 48 hours before the day of collection will lose the full payment.
Bookings cancelled within a week of collection for busy holiday periods (UK school holidays, bank holidays, Easter or Christmas holiday periods) will not receive a refund if cancelled and cannot be deferred to another date due to the business costs involved in planning and purchasing vehicles for these key holiday periods. We would recommend that you arrange independent travel insurance to cover these eventualities during the uncertainty of any government travel restrictions.
If we have to cancel your booking due to events beyond our control, we will attempt to offer you an alternative vehicle or an alternative collection/delivery location, or we will provide a full refund.
12. Other Fees:
- If the vehicle keys are lost or stolen, a fee of £375 will apply, depending on the vehicle model.
- In case of wrong fuel, the customer will pay for all costs associated with it.
- Smoking in the vehicle is strictly prohibited. A fee of £50 will apply if smoking is detected.
13. Trips to Europe and Non-UK Mainland:
These are easy to arrange, but will cost extra and require additional documents. Please call your local branch for full information.
Green cards can take 48 hours to organise.
Note: We can ONLY cover vehicles that are used in the UK with our breakdown assistance. Vehicles taken abroad MUST arrange FULL 5 Star breakdown cover with either the AA, RAC or Green flag. Cover must provide roadside assistance, recovery back to the UK and provide a suitable replacement vehicle to continue your journey. Additional rental insurance must also be added, along with our permission to take the vehicle overseas. Failure to do so may cause the vehicle to be stopped, impounded, seized, and additional costs charged.
Vehicles are to be kept within mainland GB only. Any offshore use outside of these areas will need prior approval as per the previously set out terms and conditions. Unauthorised use outside of the mainland GB will incur ad hoc insurance charges and a minimum of £250.00 insurers’ administration fee.
14. Data Protection
Your data is held in accordance with GDPR, and electronic copies can be provided on request. Printed copies may be provided for £5 to cover postage. If the hirer breaks any part of the agreement, the Company reserves the right to pass on your information to credit reference agencies, the Driver and Vehicle Licensing Agency (DVLA), debt collection agencies and any other relevant organisation. We may use your information to analyse statistics, for market research, credit control, and to protect our assets.
15. Optional Protection Packages
- All the vehicles are included with Basic protection.
- The rental vehicle will be covered under the same package, which has been added to the booking.
- No packages can be added once the booking period has started.
- All packages are subject to availability, based on the booking duration and vehicle category booked.
- Packages may only be used in conjunction with the rented vehicle and are nontransferable (to the replacement vehicle).
- Fairview reserved the right to cancel the optional packages before the rental period begins.

16. Void of Protection Packages
If any damage is determined to be a result of *carelessness or negligence* (such as driving while distracted, speeding, or improper handling of the vehicle), any optional protection packages that were added (like collision damage waiver, Standard or Premium Protection) may be voided. This means that the protection or coverage from those packages won’t apply in case of an accident or damage, and the individual will need to cover the costs themselves, and the standard excess comes into play.
17. Price Changes
Management reserves the right to adjust prices without prior notice. Prices may vary between different branches. Quotations are valid for 7 days.
18. Terms
